What is FBI?
FBI stands for Filing By Internet, it is the process used by VAT Submission Pro to communicate with the Government gateway in order to submit you returns.

I have attempted to submit a return; however once it has finished
processing it says ‘Poll Timeout’. Do I need to resubmit the return?
No, if you receive this message it means the submission of your return has started but not finished, usually because the HMRC servers are busy. You will not need to resubmit the return, instead you will simply need to click the Submit pending returns button from the main menu, and this will allow the software to attempt to finish the submission of the return.

How do you delete a return that is pending submission?
From the main menu select FBI>View submission list, this will then bring up a list of returns pending submission, locate the appropriate return and click Delete, then click Close.

I have an evaluation copy of the software, how do I purchase a
full copy of the software?
Open VAT Submission Pro and select Help>Buy VAT submission Pro Licence, You will then be directed to a page on our website. From here you will be able to follow the onscreen instructions for creating an account and making a payment; once this is done you will receive an email with an activation code. Once you have received this you will need to open VAT submission Pro and select Help>Activate VAT Submission Pro, enter your activation code and click Activate. Your evaluation version will now be fully licenced and full functionality will be available.

Can I generate a list of my VAT clients with returns due this month?
Yes, select Reports>Client reports from the main menu, then select Monthly VAT 100 status and click Run report, this will then open a pdf with the required list.

How do I submit a return once all the client and period data
has been entered?
Open the period data screen and click the Submit button, this will then lock the data so it can’t be edited. Next you will need to go to the main menu and select Submit pending returns. This will open the FBI screen and the submission of your return will commence automatically. Once the processing has finished the box will turn green say ‘accepted’, you will then be able to click View HMRC Response to get a view the receipt from HMRC.

How do I change my FBI username and password?
From the main menu select FBI>Sender information, you will then be able to update any details you need, once this is done click OK to save the changes.

Is it possible to password protect a particular client?
Yes, open the client you wish to add a password to, then select File>Set Password, enter and confirm the desired password and click OK. Once this is done the next time you open the client you will be prompted for the password.

How do I update a clients Business details?
Open the client that requires updating, select Business Details>Business Details. Update the appropriate fields and click OK to save the changes.

Is the printed copy of the VAT 100 produced by VAT Submission
Pro acceptable to HMRC?
No, VAT submission Pro is designed as a tool for online submission of returns, for this reason the printed copy is for reference purposes only.

What user id and password do I need to enter into the sender
information screen?
You will need to enter your government gateway user ID and password that is supplied by HMRC. If the username and password entered into the software don't match those held by HMRC then you may recieve a user authentication error when submitting returns.

Can I submit VAT returns for my clients without authorisation?
No, before submitting returns for clients you must have online authorisation in place. This can be completed by logging into your HMRC online account at
https://online.hmrc.gov.uk.
